1Is Heardat integrated with billing?
Absolutely!
We have our own billing system which is integrated with:
- SwitchOn (Previously known as MediSwitch) – a product of Altron which enables EDI.
- MedPrax – their software enables all tariffs of medical aids to sync through automatically
- MediKredit – All NAPPI codes recognised by medical aids will appear on the stock list.
3Can you import the data of my existing patients?
Of course!
Depending on which billing system you use we can extract the data for you via remote desktop assistance software (Anydesk/TeamViewer) or we send you content for an email you can send to the company to provide you with the details if it isn’t possible to extract it yourself.
From there, it can take 1-3 days to import into Heardat (depending how extensive the process will be to clean up the data).
If you don’t use billing software but you have an excel spreadsheet with the required details, we can import your patient details from the spreadsheet as well.
4What length of time is needed to set up my practice profile?
Setup for any practice size usually takes about 24-48 hours.
This includes the following:
- The setup of all your practice information.
- The setup of all users who will be using the system.
- We provide you with 56 demo SMS templates and 16 demo email templates which you can amend at any time. Setup includes uploading and customizing these templates to include your practice details and logo/letterhead.
- Setting up your email settings on Heardat, so the emails send from your domain.
5Do you provide training?
Yes. Initial training is provided, and our support team is always available, should you have any questions at any time.
6Is it possible for some individuals in my team to have less access than others?
This is possible depending on your preference. We have different user clearance levels with different access permissions depending on a user’s position in the company.
7Is Heardat secure?
Absolutely. Regular maintenance is done to enhance performance of the system and ensure all security measures are in place and updated with the newest security standards.
8Is Heardat POPIA compliant?
Yes. Since we are working with medical information (Level 2 security info) every detail is stored securely and is only disclosed to your practice’s users and Heardat staff for support requirements. The patient is also notified of this in the Terms and Conditions and the patient will have an option to consent to this as well as you communicating to him/her and should he/she at any point not want to receive any communication they are able to unsubscribe. Our appointed security information officer continuously ensures that we comply to all POPI conditions.
9How do you ensure that practices are POPI compliant?
From our side we ensure that the system meets all requirements, and we also provide all our clients with our Information Security policy and Privacy Policy, which is also regularly updated and available on Heardat’s website.
10Do I need to install anything to be able to access Heardat?
No. All you need is Google Chrome.
We do have an application for Heardat which you can download from Google Play Store, the iPhone App Store, or Huawei’s AppGallery in order to view your appointments for each day on the go. This app will keep on being developed but will never be used as a replacement for the web interface, due to the complexity and continuous development on the web interface.
